Position Summary
The Education Administrative Assistant provides frontline customer service and administrative support for the Education Department and serves as a primary point of contact for members, subject matter experts, and facilitators. This role ensures timely, accurate, and professional delivery of education-related services by responding to inquiries, coordinating processes, and supporting departmental products and programs.
Key Responsibilities
Respond to incoming calls and emails, resolving inquiries and escalating complex issues as needed.
Support the Education Department and cross-functional workgroups by coordinating meetings, calendars, documentation, and reports.
Maintain records, track activities, monitor deadlines, and support day-to-day departmental operations.
Process education product orders through the HPNA Store using iMIS, including payments, refunds, and transfers.
Monitor store activity, generate reports, and help identify trends or recurring issues.
Coordinate printing and distribution of education publications with vendors to ensure accurate and timely delivery.
Prepare and maintain contractor and speaker agreements; submit invoices and track deliverables.
Coordinate with vendors and contractors to ensure obligations are met.
Requirements:
Two (2) or more years of experience in an administrative role
HS Diploma or Equivalent
Strong customer service and communication skills.
Excellent organizational skills and attention to detail.
Ability to manage multiple priorities and deadlines.
Proficiency with Microsoft Office or similar tools; iMIS experience a plus.
